How to Organize Your Business for Greater Success …continued
By Emily Newberg, PSAI Membership and Data Services Coordinator
An organized space has a place for everything. This not only applies to important documents and the office printer, but to
computer cables and that silly birthday gift from your favorite daughter that makes you smile. Manage the cables with power
strip covers and zip ties, cable sleeves, or a DIY Cablebone . And if your daughter ' s gifts will need a place EVERY year and
accumulate over time , decorate and store UP. Make use of all that upper wall space by adding shelves above your
workspace, the ceiling's the limit! A lso, storing documents you don't need to access throughout the day, including
confidential information can be done offsite to minimize clutter and distractions.
If you feel more productive with a clean desktop, make sure you clean up your virtual desktop as well. Delete all t he items
you are no longer using on your computer and then empty that trash! Respond to emails as you get them and bundle
others you need to save using Google extensions or SaneBox . Saving articles to read later? Let Pocket help you keep track
of every thing you want to view when you're ready. You can store all your passwords in one place and have them
automatically apply to their sites using 1Password , and for jotting notes try Evernote so that they are accessible on all your
devices.
Go Paperless
Ye s, it can save trees, but this is not even the best reason to do it anymore (although it's a pretty good one). Going
paperless makes your life easier by allowing you to access everything you need anytime, anywhere. Easily and quickly scan
documents using G enius Scan , Shoeboxed , or CamScanner . Store your documents using iCloud or eFileCabinet .
You can manage your finances this way by upgrading to Cloud - based bookkeeping tools that integrate directly into your
account. Invest in accounting software like Quic kbooks online , Xero , FreshBooks , Mint , or Kashoo , to name some of the
more popular platforms for today's successful business owners. Review and streamline your payroll processes using Gusto if
you're in the U.S. or Payment Evolution if you're in Canada. Av oid fines or the possibility of a shut down by delegating your
taxes to InDinero , which will help you keep track year round.
Manage Your Time
When it comes to managing your time there are as many tips as there are people in the workforce, but most still rely heavily
on the old - fashioned list. List the top five items you want to tackle the next day, or employ Todoist to remember everything
for you and integrate it onto all your devices. Make sure to tie up loose ends quickly, such as filing for a DBA, gett ing a tax
ID number, or your licenses and permits. Establish project milestones and allow everyone involved to be aware of them so
they know what's expected and when. Take some time to
research the conventions and conferences that you want to
attend for th e year and schedule them on your calendar with
important reminders during the months prior to the event.
You can streamline your scheduling by consolidating your
personal and professional calendars using Google Calendar, Cal ,
or TeuxDeux . With all your co mmitments in one place you will
avoid double - booking yourself. You can also avoid the messaging
back and forth to set up meetings with others. By using Calendly ,
others can schedule with you without even talking to you.
